Practice Direction on Establishing a Regular Contact Person for an Organization

The Human Rights Tribunal of Ontario (HRTO) has developed the following approach to establishing a regular contact person for an organization. The procedure outlined below provides general information only. It is not a rule within the meaning of the HRTO Rules of Procedure. The HRTO may vary the approach to this procedure where appropriate.

General

When an applicant names an organization as a respondent, the applicant must provide a contact person for the respondent organization as well as an address for service. If the individual named is not the appropriate person to receive the Application or if the address for service is not correct, this may lead to delays.

In order to avoid potential delays, respondent organizations may wish to establish a regular contact person for the delivery of Applications. If they do, the HRTO will use that person as the contact for serving any Application naming that organization, regardless of the contact information in the Application. The HRTO will communicate with the established contact person unless the organization identifies a different person in a particular application.

Please note that this practice only applies to respondents that are organizations. This does not apply to individuals who are named as respondents. Any individual named in the Application as a respondent will continue to be treated as a party to the proceeding.

Procedure

If an organization wishes to establish a regular contact person for receiving Applications, they need to send the following information to the Registrar:

If the organization’s contact person changes, they need to contact the Registrar at hrto.registrar@ontario.ca and provide the updated information as listed above.
